Position Overview
The Office of the CEO Coordinator will provide essential administrative, operational, and logistical support to ensure the efficient functioning of the Office of the CEO. This role is responsible for managing scheduling, coordinating logistics, and executing administrative processes to support the CEO and Chief of Staff. This position is ideal for a highly organized, detail-oriented individual with strong communication skills and a proactive approach to problem-solving. The Office of the CEO Coordinator will report to the Chief of Staff.
Key Areas of Responsibility
Scheduling & Administrative Logistics
- Own CEO calendar management, including scheduling internal and external meetings, ensuring alignment with priorities, and proactively resolving conflicts.
- Manage travel, signature support, and expense processing for the CEO.
- Support logistics for processes and initiatives led by the Office of the CEO.
- Maintain the national calendar, ensuring key organizational events and meetings are documented and up to date.
- Maintain and update the staff directory.
- Manage the [email protected] email account, triaging inquiries and directing them appropriately.
- Monitor and process voicemails from the GreenLight main line.
Operational & Board Support
- Provide logistical support for the onboarding and offboarding of Board members.
- Support the Strategic Support Manager in coordinating logistics for Board meetings & Board Committee meetings.
- Assist in the preparation and distribution of Board packets.
- Support with logistics for the annual in-person Board meeting.
- Support the annual collection of Conflict of Interest forms and updates to the Board of Directors Manual.
Meeting & Event Coordination
- Provide administrative support for Office of the CEO meetings, including scheduling, agenda preparation, and note-taking as needed.
- Support logistics for Management Team, Leadership Team and staff meetings.
- Support logistics for the annual staff offsite and Management and Leadership Team offsites including scheduling, venue coordination, and material preparation.
- Assist in the development of templates and presentation materials for Board and executive-level meetings.
Requirements
- 1-3 years of professional experience in an administrative, operational, or support role.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Exceptional attention to detail and problem-solving skills.
- Strong written and verbal communication skills.
- Experience managing scheduling and logistics in a professional setting.
- Proficiency in Microsoft Office and Google Suite; experience with scheduling and project management tools is a plus.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
Location
Preference for candidates based in the San Francisco Bay Area or Denver; however, candidates in other GreenLight registered states will also be considered. These include California, Colorado, Florida, Georgia, Illinois, Kansas, Maryland, Michigan, Minnesota, North Carolina, New Jersey, Ohio, Pennsylvania, Tennessee, and Texas. Applicants not in a GreenLight registered state will not be considered.
Compensation and Benefits
The salary for this position is $57,000.
